Creating Custom Email Address Accounts with Your Domain Name

In this example, we’ll show you steps to create email accounts for your domain name with Bluehost: First, log in to your Bluehost panel and then go into the Advanced tab from the main sidebar. From there scroll down to the Email section and click on Email Accounts. From there click on the ‘ Create ‘ button. In this tutorial, you’re going to learn how to create email accounts for your domain name. We’re going to take you to step by step through the whole process, giving you two alternative paths to follow based on what your needs are.

You probably have Gmail or some other free email account already. While that email is perfectly fine, it might not look very good when used for any sort of professional purpose.

For example, it’s easy to imagine how emailing business contact  [email protected] might not be optimal. A much better alternative is to set up a custom email address under your own domain name – if you happen to own a domain name already (if not, here’s how to register a domain name).

In such a scenario, you can, for instance, use something like jo[email protected] instead, which does have a totally different vibe to it.

Today, we’re going to learn how to do exactly that – create email accounts for your domain name – so that you get an email address that has your own domain name after the @ symbol.

Something we need to admit right up front is that path (A) is much more beginner-friendly. We’d give it 5/5 on the “ease of use” scale. Path (B) is a moderate 3/5.

Many top web hosting companies offer free email accounts for their customers. Bluehost, Hostgator, Dreamhost – just to name a few.

After literally a second, your email account is created and ready to go. Next step, learning how to use your new email:

By clicking on ‘Check Email‘, you can start using your email account right away – via Bluehost’s own email client.

Though, a more likely scenario is that you’d want to configure this email on your laptop or iPhone. For that, click on the Connect Devices button. You’ll see some new options pop up.

You’ll see a whole new page with instructions on how to go through the process with your favorite email tool. The most interesting part is that Bluehost makes available a range of auto-config options for many of the popular email solutions and apps:

Further down the page, there are also manual config details in case you haven’t found your tool on the list.

This process involves a couple more steps than Path (a). But it certainly can be done by a beginner as long as you follow those steps carefully. Additionally, if you want to create email accounts for your domain name with Gmail, it will also involve an extra fee on top of what you’re already paying for your domain name.

While standard @gmail.com emails are free, Gmail puts a price tag on letting you create and manage custom email addresses based on your own domain name.

That premium package is called the G Suite. The basic plan is $5 /user/month, but there’s a 14-day trial available (credit card required), so you can test how it all works before committing. Though it might sound pricey, G Suite is a for-business product, so you get many more tools apart from custom email.

Once you’re ready, go here and click on one of the Get Started buttons. You’ll see a signup form asking a couple of basic questions – to understand your business and needs better.

Along the way, you will be asked if you already have a domain that you want to connect with G Suite. Select, yes.

Enter the domain name, and then carry out with all the steps that come next. The final of which will be creating your main G Suite user.

When everything is done, you’ll arrive at your G Suite login screen. After logging in, you’ll be asked for additional details before fully enable your account.

At this stage, you’ve successfully signed up with G Suite. However, you’re still a couple of steps away from creating brand new email accounts for your domain name.

When you’ve gone through these steps, you’ll have a fully functional email account (or more than one) at your disposal, and you can begin using it via Gmail’s standard user interface.

That being said, if you’re not 100% crazy about Gmail’s interface, you can still configure your new email accounts in third-party email tools pretty easily (for example, so that you can use that new email on your iPhone or laptop).

You can do that by using either the POP3 or IMAP protocols. G Suite explains the difference pretty clearly. Though, in most cases, you’ll want to use IMAP when configuring your email on modern devices or in modern software, like on an iPhone or in Microsoft Outlook. Here’s how to carry through with that configuration.

That’s the end of the road! Your new email account is fully operational and integrated with additional devices for convenience.

You can get a free domain for a year when you sign up with BlueHost. This domain can then be used to create your own domain email for free. When you get to the dashboard, go to the sidebar and click on the Advanced tab. Then scroll down a bit until you get the email section. You’ll want to click on Email Accounts. Now you’re in the email manager window. To get started with your free domain email, click Create to set up a custom name and password. Today, I’m going to show you a little hack that you can take advantage of inside the BlueHost user panel to work around paying for your domain name, so that you can get started with your own personalized domain email without having to pay any additional fees.

So you’ve put together your own site, why invest in your own custom domain? With your own email domain, you gain:

Now you’re in the email manager window. To get started with your free domain email, click Create to set up a custom name and password.

So just go ahead and set up your information. You can also adjust the storage space from the default 100 MB if you just want to create one primary account. You can create up to 5 emails under your account plan.

Your new email should be created at this point. From here, you can manage or check your mail by clicking on the links next to your new account.

If you would, you can choose a pre-installed default email application, or you can try to manually connect with some of the other applications Bluehost integrates with. I went with “horde” as my default application.

The highlighted start in the upper right corner of your email indicates your default client. You can switch whenever you’d like based on what kind of dashboard looks the best to you.

Choose whichever email dashboard you like the look and feel of the best! Horde gives you a basic layout that includes a calendar, address book, and notes section.

The next available default client is roundcube. It’s feature list is smaller but the dashboard looks a bit more modern.

Last is SquirrelMail. You can customize personal information with features like email signature and edit your incoming messages with different highlights based on which set of recipients you receive mail from.

If you want to create a Gmail account, you’ll have to go back to the dashboard and go to GSuite under the Email & Office tab.

From here you would have to set up a G Suite account. This feature is not free as it comes with a monthly premium, but it’s the only way you can integrate your Gmail account through Bluehost. For a full tutorial, take a look here.

How to Use Gmail With Your Own Domain Name (2 Methods, 1 Is Free!)

G Suite essentially lets you create an entire Google account with your own custom email, instead of using a Gmail address. This not only gives you access to Gmail with your own domain name, but it also gives you separate access to other Google tools such as: Drive; Docs; Sheets; Meet; Calendar; Etc. Want to use Gmail with your own domain name? Gmail is super convenient in so many ways, but it doesn’t look very professional to use an @gmail.com address for serious applications.

So – can you use Gmail with your own domain name? And if so, can you do it for free? The answers to those questions are “yes” and “yes”. And in this post, you’ll learn how to do it.

With this method, you’ll be able to link your custom domain name to a regular free Gmail account (e.g. username@gmail.com). Then, you’ll be able to send/receive emails using your custom domain from your regular Gmail account.

When you compose a new message, you can choose between your free @gmail.com address and your gmail custom domain. If you receive an email at your custom domain, Gmail will automatically respond using that email:

While the Gmail part of this method is 100% free, there are some caveats to this method in that you’ll need to already have email hosting to make it work. Typically, you would get this through your web host if you have a website.

For example, if you host your website with Bluehost, Bluehost also helps you create your own custom email address as part of its service (this is the email hosting part).

If you don’t own a domain, here’s a quick tool you can use to find out if the domain name you’re interested in is available:

Once you set up your email address with Bluehost, the method in this tutorial would let you use Gmail to send/receive those emails at no extra cost. Unfortunately, already having this email hosting is a basic requirement for the free method.

For both creating your website and setting up the custom email account to use with Gmail, we recommend Bluehost. Plans start at just $2.75 per month and that includes hosting your website, hosting your email account, plus a free domain name.

If you don’t need a website, another option would be to purchase email hosting through your domain registrar. For example, if you registered your domain through Namecheap, Namecheap sells a cheap email hosting service starting at just $0.79 per month.

For the rest of this tutorial, we’ll use Bluehost for our example screenshots. However, the same basic principles will apply to any host – the interface will just be a little different.

To get started, create a regular free Gmail account – e.g. username@gmail.com. If you already have a Gmail account, you can use your existing account.

However, remember that the emails for your custom domain will be mixed in with any emails to your regular Gmail account, so it might be simpler to create a separate account if you’re already receiving a lot of email at your Gmail address.

Next, you need to create your custom email address using your email hosting if you haven’t done so already. E.g. you@yoursite.com

If you’re using Bluehost, you can use Bluehost’s email account tool to create your email address from the Email & Office tab:

Once you have your custom email account, you’re going to use something called POP3 to connect Gmail to your custom email address. Essentially, these settings let your free Gmail account import emails from your email hosting (Bluehost in our example, but it could be different for you).

To get started, you need to find your email’s POP3 settings. At Bluehost, you can do this by clicking the Connect Devices tab when you’re editing your email account. Here’s what it looks like:

If your email hosting is elsewhere, you’ll want to consult your service’s documentation or reach out to their support if you can’t find your POP3 information.

At this point, new emails to your custom domain should show up in your Gmail account. However, you won’t be able to reply to them from your custom email domain yet.

To fix that, you need to configure your Gmail account to send through your custom email’s SMTP server. Typically, you’ll find your email’s SMTP server information at the same spot where you found the POP3 information:

Gmail will then send a confirmation code to your custom email address. You need to click the link in that email and click Confirm to finish the process.

Since you already configured Gmail to receive emails from your custom domain name, you should be able to receive this email from your Gmail account. It might take a few minutes for Gmail to fetch the email from your server.

At this point, you should be ready to rock. You can send and receive some test emails to make sure it’s working.

When you compose a new email in Gmail, you should be able to choose which email to send from above the To line:

If you’re willing to pay, another way to use Gmail with your own domain name is to pay for Google’s Workspace service.

If you have an organization, you can also set up Google Workspace (G Suite) for your entire organization so that you can all easily share files with one another.

There’s a lot to like about this method. However, the downside is obviously that it isn’t free! Google Workspace (G Suite) starts at $6 per month per user. So if it’s just you, you’ll pay just $6 per month. However, if your business has five employees, you would pay $30 per month (5x$6 per month).

To get started, go to the Google Workspace website and follow the account setup wizard to configure the basic details, like which custom domain you want to use with G Suite. This will be the domain name at the end of your email address – e.g. @yoursite.com:

If you’re the only person who will be using Google Workspace (G Suite), you’re finished once you complete the wizard. If you want to give other people custom email addresses, you can also do that after completing the initial setup wizard:

Next, you’ll need to verify your domain name with Google Workspace (G Suite) by adding something called a TXT record. Depending on how you have things configured, you can do this at either:

Once you’ve verified your domain name, you also need to add another type of record called MX records so that Google Workspace (G Suite) can manage the email for your domain name.

You can do this via the same interface where you added the TXT record. Or, many web hosts include a built-in tool to help you add the Google Workspace (G Suite) MX records.

With the methods in this post, you can get the convenience of Gmail with the professionalism and brandability of your own custom email address.

If you already have a website and email hosting, you can use the first method to use Gmail with your custom domain name for free.

If you don’t have email hosting already and/or you want to completely separate your custom email address from your free Gmail address, you might want to pay for Google Workspace (G Suite) instead.
